Information for Artists interested in Fringe-managed locations

the rules

The 32nd Annual Orlando International Fringe Theatre Festival takes place May 16-29, 2023.

  • Shows drawn in the 2023 lottery must have a runtime between 0-75 minutes.
  • The time you have listed on your application is the MAXIMUM time allowed for your show. This cannot be adjusted unless you are reducing the show run time. 
  • Artist groups are responsible for securing all rights, royalties, copyrights, and union waivers for published works or Equity actors. (Groups are responsible for proving a copy of these rights and royalties to the Orlando Fringe). Failure to secure rights is grounds for removal of your show from the Festival. Proof of rights must be sent to the producer before your schedule is distributed to you. 

 

Note:  Orlando Fringe holds a music license with BMI.  No group should pay for additional licensing from BMI. This includes any music used as house music or performed live or via vocal tracks, CD’s, background music, etc. If selected in the lottery you must indicate if your show includes published music for our reporting purposes, and you must present a list of all songs prior to the start of the festival.

We remain a truly unjuried Fringe Festival via a lottery system. 

In order to apply for Orlando Fringe 2023, your application for the Fringe Lottery must be submitted prior to 5:00 PM EST on November 15, 2022.

  • The ENTIRE application must be filled out in full to be considered for the Lottery. Orlando Fringe artists picked for the Festival are determined by a fair and random Lottery. Under no circumstances may any group sell their Orlando Fringe slot.
  • There is a non-refundable application fee to apply. 
  • The cost is $25 until 11:59pm on October 31, then the price increases on November 1 to $50 until applications are due on November 15.
  • You may only apply as a producer or producing company for one show
  • When submitting your show, you must have a show title; TBA or TBD will not be accepted. You will have the opportunity to make tweaks to your title if selected in the lottery. If you do not type in a title, your show will not be considered for the lottery until adjusted.

 ALL applicants will be entered into a TIER lottery. Tiers are based on the seating capacity of the venues with adherence to the following geographically tiered quotas:

  • 50% of the slots are reserved for local companies (companies within a 2-hour drive of Orlando, Florida.)
  • 25% for national (companies applying from outside Central Florida but within the US)
  • 25% for international (outside the United States).

-If we discover you have applied to the wrong category (Local, National, International) based off of your address, you will be notified and moved to the correct category. 

-The Main Contact must reside where the application states they live.

Amplified Voices Lottery

Orlando Fringe is dedicated to the following principles: inclusion, diversity, equity, and accessibility.

To better amplify the voices of marginalized communities, we offer Artists an opportunity to enter our Amplified Voices Lottery.

This lottery occurs before the general lottery and guarantees 30% of spots to producing Artists that qualify.

To qualify, the project must be PRODUCED and/or CREATED by individuals who are members of a marginalized community*.

Please note: solely having cast members of diverse backgrounds does not qualify you to enter the Amplified Voices Lottery. If you are entered into the Amplified Voices Lottery and not selected, you will still be entered in the general lottery for your desired Tier.

*Marginalized communities are groups of persons at risk of being subjected to discrimination due to personal characteristics such as race, gender, ethnicity, age, religion/beliefs, health status, disability, sexual orientation, or gender identity.

Deadline

The final deadline for all applications is 5:00 PM EST on November 15, 2022, to be considered for the lottery. You must press the SUBMIT button BEFORE 5:00 PM EST. If your application is still being worked on at 5:00 PM EST it is not on time and will not be placed in the lottery. This is absolute. Any application received after that will be placed at the bottom of the waitlist. Confirmations of application receipt are sent via Google Forms when the application is submitted. If confirmation is not received within 48 hours of delivery, 
or if you have questions about the application process, contact tempestt@orlandofringe.org.    

YOU MAY ONLY APPLY AS A PRODUCER OR PRODUCING COMPANY FOR ONE SHOW.

The Producer/Main contact is responsible for all administrative and production correspondence from the lottery until the end of the festival. They will be making and receiving payments in their name and be responsible for all tax forms.  The information submitted cannot be changed once the application is complete. 
 
You cannot have the same producer for more than one production. If you are producing one show, and co-producing a second show, that is still producing more than one show, and both shows associated with the producer can be removed from the festival at any time. All producers and artists could be asked to sign a conflict of interest form listing all participation in the festival upon acceptance in the lottery.

Schedule requests can be submitted but not guaranteed upon acceptance.

Understanding Payment

Your non-refundable application fee is due upon submission of your application. You will be ineligible for the lottery without this payment. It is not refundable under any circumstances. At the end of this application, you will pay your application fee. If you request for your application be accepted manually at the Fringe office, there is a $10 processing fee on top of the regular application fee. If you are submitting in person, please email tempestt@orlandofringe.org and we can arrange for a staff member to be in the office for drop-off. Application fees must be paid prior to the 5:00 pm EST deadline on November 15, 2022.

Remaining Fees

After the lottery, you will receive an offer based off your tier/#seats, number of performances, and performance length (there are additional fees if your show length is longer than 60 minutes). If you do not pay the remaining balance within 72 hours of venue placement, you will automatically forfeit your space in the 2023 Festival.

Please see the chart below to understand the total cost that you will be charged if selected in the lottery.  

Remaining production fees are determined by number of performances.

Please note, the amount of preferred performances you select in your application may not be the amount of performances you are offered if accepted to the lottery.

Shows can be up to 75 minutes long, unless you are placed in a Tier 3 Venue, then the maximum run time is 60 minutes. Shows that are longer than 60 minutes will be charged $200 extra 

 

You will be responsible for getting the payment to us on time. Fringe accepts the following payment methods:

You are responsible for any fees associated with your payment; Orlando Fringe will NOT reimburse you for any fees your credit card or bank charges you. Additionally, international artists are responsible for any additional fees incurred because of exchange rates. Checks/credit cards will be submitted upon receipt; a $30 fee is assessed for all returned checks. Please contact becki@orlandofringe.org for transaction receipts.

Refunds

If you are chosen in the lottery and need to withdraw before January 31, 2023 at 11:59PM, you will receive 100% of your production fees back. A 50% refund minus a $200 administrative penalty, will be available to all groups who withdraw between February 1st and February 28, 2023 at 11:59PM. NO REFUNDS will be issued if you need to withdraw after February 28 unless it is due to death, health, or visa/customs issues, and will be considered on a case-by-case basis.

If Orlando Fringe needs to cancel the entire festival, groups will receive a 100% refund– Any refunds will be issued via check, regardless of payment type, and can take up to 10 business days to process. We will not be offering deferment if the 2023 Festival is canceled.

Lottery Drawing

Applicants in the lottery are first drawn in association with their geographical area for each Tier. Where order you are selected in the lottery, along with your venue preference, runtime, technical requirements, and venue restrictions will all be factored into your venue placement. You are not guaranteed to be placed in the venue you requested. Be aware that if you are drawn late in the tier lottery, this could push you to the waitlist. Fringe reserves the right to change or add venues at any time.

Also, please be advised that the venue may look different then the videos or what is expected at the time of the lottery or offer. We rent all of our venues, and the venue partners may adjust the venues at any time. 

Bring Your Own Venue

If you are not selected to participate in the Orlando Fringe via the lottery, there are other opportunities to participate. 

Bring Your Own Venues are non-Festival managed venues operated by partner venues during the Festival. 

100% of the ticket sales still go back to the artists, but production fees may different depending on the venue and number of performances. 

Bring Your Own Venues also will not be included in the Festival Managed Local Teaser show, but typically the BYOV’s have their own BYOV Teaser show prior to the festival beginning, subject to change at any time.

Waitlist

We maintain a waitlist to fill empty slots. The waitlist order is determined by order drawn in the original lottery; number/ranking on the waitlist is assigned in the order placed on the waitlist. You may withdraw from the waitlist at any time – you will not be refunded your application fee. Groups may NOT increase their show length/running times after the application is submitted. If you are on the waitlist and get selected to participate at a BYOV you will forfeit your spot on the waitlist. 

Not Drawn

All artists not drawn in the festival lottery can apply to be a BYOV. If you are not drawn in the festival lottery and not selected to be a BYOV then you as a producing artist cannot acquire, purchase, or trade a spot from another producing artist who has gotten into the festival. We maintain a list of all producing companies that have applied to the festival which includes the not drawn list. If we find that any producing artists or companies have given, sold, or traded their spot with another producing artist or company then that show can be removed from the festival at any time. 

 

National and International Artists Housing

Orlando Fringe guarantees FREE billeting (housing) for all National and International Artists, up to 4 members per company. Orlando Fringe will try to accommodate larger groups, but housing is not guaranteed.

International artists are responsible for securing their own Visa to enter the United States. More information can be found at travel.state.gov.

The Orlando Fringe Application Process

To submit an application to the lottery for the 2022 Orlando Fringe, you must fill out the Google Form located at the end of these rules and regulations. 

Please note: For any application submitted in-person at the Fringe office there will be a $10 administration fee on top of your application cost. Please do not just show up to the office, make an appointment by emailing lindsay@orlandofringe.org

Only one application per producer/production company may apply, and you must select only one tier. If there is more then one submission for the same show, your application may be pulled at the discretion of the Theatre Producer.

The application fee for 2022 is $25 from September 1 until 11:59pm on October 31, 2021. After this date the application fee will be raised to $50 until the November 15, 2021 at 5:00pm EST deadline. 

There is no application fee for our Fringers of the Future lottery.

Application submissions are final when payment is received and there are no refunds or changes to tier, extensions of showtimes, or producer/production company. If you do not receive a confirmation from Eventrotron stating your application was successfully submitted, please contact Theatre Producer Lindsay Taylor at lindsay@orlandofringe.org

To submit an application to the lottery for the 2023 Orlando Fringe, you must click the link below and complete the linked form. Applicants must have no more than two conflicts during all tech and performance dates to apply. No schedule accommodations are guaranteed.

When will you find our if you’re chosen?

The lottery is scheduled for

Monday, December 5, 6:00pm EST. It is open to the public and results will stream in real-time on our social media channels.

Fringe staff will make every effort to accommodate as many groups as possible into the Festival. If you are matched with a venue, you will receive an offer from Orlando Fringe within a week of the lottery. The remaining fees (venue & length costs) are due within 72 hours after the offer is made.

Performances

If you are applying for the lottery and are selected for participation, Orlando Fringe will provide you with your show schedule no later than March 31, 2023.

Each group will receive a variety of showtimes, including peak and off-peak times.
Fringe makes no scheduling accommodations for artists doing multiple shows.
It is important that your company is available during the operating hours of Fringe without conflicts.
Weekday performances will begin as early as 5:00 PM or as late as Midnight.
Weekend performances will begin as early as 11 AM or as late as Midnight.

Tech Rehearsals

Tech rehearsals begin Saturday, May 13th for local artists and Monday, May 15th for National and International Artists. You will receive more information about tech upon acceptance to the festival.

Most of the Orlando Fringe’s venues are located in (or very near) the City of Orlando’s Loch Haven Park, a city cultural campus that is home to The Lowndes Shakespeare Center, The Orlando Museum of Art, and The Orlando Repertory Theatre. The park is located just north of the downtown area.

Located in Loch Haven Park, this is the central facility of the Orlando Fringe, the center houses five of our venues, the main Fringe box office, courtyard seating, Visual Fringe art, beer and wine service, merchandise, and button sales. Free parking is available just steps from the door.

BLUE VENUE (The Santos Dantin Theatre)
One of the most intimate venues Fringe offers. Fully equipped light and sound boards with a redesigned thrust stage. This venue has limited storage, off-stage area, and dressing space.
Seating: 60 (54 available for sale, 3 reserved for artist comps, 3 reserved for pass holders)
Running time allowed: up to 60 minutes
Tech time: 3 Hours

Recommended for intimate productions, small cast or solo shows. Not recommended for dance shows, large musicals.

BROWN VENUE (The Orlando Shakes Rehearsal Hall)
100-seat venue with basic technical amenities, thrust seating, and limited backstage area. This venue is not
ideal for loud music/musicals or dance, but this is a great venue for more intimate shows with low tech and limited storage needs.
Seating: 100 (90 available for sale, 5 reserved for artist comps, 5 reserved for pass holders)
Running time allowed: up to 75 minutes 
Tech time: 3-5 Hours (depending on run time)

Recommended for shows with low technical requirements, solo shows. Not recommended for dance shows,

ORANGE VENUE (Margeson Theatre)
320-seat, 3/4 thrust stage, fully equipped light & sound board, storage & dressing rooms. This is a large venue
with intimate feel. Includes two professional venue techs.
Seating: 320 (288 available for sale, 16 reserved for artist comps, 16 reserved for pass holders)
